Terms & Conditions

This section serves as the explanatory document (Article 12-4, Travel Agency Act) and the contract document (Article 12-5) as required by Japanese law.

1 Booking & Contract Formation

This tour is planned, recruited, and operated by Kumatora (Total Co., Ltd.) (“the Company”). By participating, customers enter into a Domestic Package Tour Contract with the Company.

The contract is formed when the Company accepts the application and receives the application fee / full payment. Applications are accepted online only, through the JGG official website.

The contents of the travel contract are based on the recruitment advertisement, these tour conditions, the final itinerary issued before departure, and the Package Tour Contract section of the Company’s Travel Agency Terms and Conditions.

Payment must be completed within 48 hours of receiving the payment link. Failure to pay within this period may result in cancellation of your reservation.

2 Cancellation & Cancellation Fees
⚠️ Early Bird Bookings — Non-Refundable: Early Bird tickets are non-cancellable and non-refundable under any circumstances, except in the case of tour cancellation by the Company (see below).

For standard bookings, the following cancellation fees apply:

Tour Cancellation by the Company: If the tour is cancelled due to insufficient participants or any other reason, a full refund will be issued to all participants, including Early Bird bookings. You will be notified at least 14 days before departure.
3 Liability & Disclaimer

The Company shall compensate for damages caused by the Company’s or its subcontractors’ intentional acts or negligence in performing the travel contract. Claims must be made within 2 years of the incident.

The Company shall not be held liable for damages arising from:

  • Natural disasters, severe weather, earthquakes, or other acts of nature
  • War, civil unrest, terrorism, or government directives
  • Accidents, fires, or service suspensions by transport or accommodation providers
  • Food poisoning, theft, or incidents during free-time activities
  • Transportation delays or route changes beyond our control
  • Any other circumstances beyond the Company’s reasonable control

The Company reserves the right to make necessary changes to the itinerary due to weather, traffic, or facility closures.

4 Special Compensation & Itinerary Change Compensation

Special Compensation (特別補償): Regardless of Company liability, if a participant suffers bodily injury or property damage due to a sudden, accidental, external incident during the tour, the Company will pay the following:

Itinerary Change Compensation (変更補償金): If a significant change occurs after the contract is formed, the Company will pay 1.0% – 2.5% of the tour price per incident, capped at 15% of the total tour price (minimum ¥1,000). Changes due to natural disasters, war, transport delays, or government directives are excluded.

5 Eligibility & Participation Requirements
  • Participants under 18 years of age require written parental or guardian consent.
  • Participants under 15 years of age must be accompanied by a parent or guardian.
  • Persons with health conditions, disabilities, allergies, or who are pregnant must inform us at the time of booking. We will make reasonable accommodations where possible.
  • The Company reserves the right to refuse participation if safety cannot be reasonably ensured.
  • Applications from individuals belonging to antisocial forces will not be accepted.
  • A valid form of ID may be required at check-in.
6 Safety & Health Information

The tour involves outdoor walking, including uphill steps at Arakurayama Sengen Park. Please wear comfortable footwear.

  • Carry any required personal medication at all times.
  • Travel insurance is strongly recommended and is not included in the tour price.
  • In the event of a medical emergency, contact the tour conductor immediately.

  • The tour may be altered or cancelled in the event of severe weather or a declared emergency.
7 Privacy Policy & Personal Information Protection

Kumatora (Total Co., Ltd.) collects personal information provided at the time of booking and uses it for the following purposes:

  • Customer communication and tour operation
  • Arrangements with transport and accommodation providers
  • Insurance procedures
  • Safety management during the tour
  • Provision of future promotional information (with consent)
  • Statistical and research purposes (anonymized)

Personal information will only be shared with third parties to the extent necessary to operate the tour.

All personal data is handled in accordance with Japan’s Act on the Protection of Personal Information (APPI / 個人情報保護法).

8 Conditions Reference Date (旅行条件基準期日)

The tour price is calculated based on transportation fares, fuel surcharges, exchange rates, and other applicable fees in effect on the date stated on each individual tour’s product page (the “Conditions Reference Date”).

In the event of significant fare changes after the contract is formed, the tour price may be adjusted in accordance with the Standard Travel Agency Terms and Conditions (Article 14).
